1. Welcome and attendance

Trini welcomed everyone to the meeting.

2. Affiliations
  • Southampton Students for Britain

It was decided that this group met the criteria outlined in Rule 11, section 2. This group was AFFILIATED and assigned to Sustainability Zone.

  • Trading & Investment Society

After a discussion about the overlaps with other groups it was decided that the group would meet with and other related groups before deciding how to proceed.

  • Turkish Society

In order to allow time to confirm whether the Turkic Society was still active, the group was provisionally affiliated and assigned to Student Communities Zone.

3. Constitution changes

Constitution changes from Christian Union and Ultimate Frisbee were approved.

The Committee discussed the LiveSoc constitution and had some concerns with saying that the group will always have free membership and specifying that the President must have previously been on the Committee. It was agreed to remove the part requiring the President to have been on the Committee previously.

4. Student Groups inductions/conferences

Kerry let the Committee know that the Zone Conferences will be happening in mid-May this year and that the Student Groups Reps would be elected at these events.

5. Student groups funding - what information we get from student groups

Kerry said that they had received lots of responses from the survey about the Money Management project and whilst there had been very positive feedback, there are lots of societies that have specific financial needs.

The Committee discussed the idea of societies submitting a financial year plan and how much financial information the Union should request from societies. Trini said that a model plan would be useful for funding rounds so that basic information was known about all societies. Michael suggested that financial plans could be submitted twice a year, and could just be a form that the Union asks societies to fill in.

The Committee also discussed various issues to do with student groups funding. Trini said that it would be useful to know the savings of each society because the Union could be funding things that the group can easily afford. Michael suggested that the Union could ask for more in return for the funding that they give out, such as publicity. The Committee agreed that this was a good idea.
